About the Opportunity
Were looking for an experienced Administrative Assistant to step into a key support role with a small, professional industry association in downtown Ottawa. This is an excellent opportunity for someone who enjoys being at the centre of a busy office, balancing administrative priorities while creating a welcoming, organized environment.
Working closely with the CEO and broader team, youll provide hands-on administrative and office support where initiative is valued. This role is fully on-site, Monday to Friday, with hours of 8:30 a.m. to 4:30 p.m. or 9:00 a.m. to 5:00 p.m.

Your Responsibilities
Youll manage day-to-day administrative priorities, anticipating needs and keeping tasks moving forward
Youll provide professional reception support, including welcoming visitors and managing mail and deliveries
Youll coordinate travel arrangements, hotels, meetings and other logistics as required
Youll support board activities, including meeting coordination, materials and minutes
Youll prepare documents and presentation decks using common office software
Youll help keep office operations running smoothly by ordering supplies and maintaining shared spaces, including the communal kitchen
Skills and Qualifications
3 to 5 years of administrative experience in a professional office environment
Strong organizational and multitasking skills, with the initiative to identify what needs to be done
Professional communication skills and sound judgment when handling confidential information
Strong technical aptitude and confidence learning and using office software
Experience preparing presentations, coordinating meetings and supporting travel arrangements
Professional, business-casual approach suited to a corporate office environment
French-language skills are considered an asset
