We are seeking an experienced Medical Administrative Assistant to provide dedicated administrative and clinic coordination support to two physicians within a busy Toronto hospital environment. Youll play an important role in keeping clinic activities organized, ensuring physicians have the support they need and helping patients and families navigate appointments and follow-up requirements.
This is an excellent opportunity for someone with a strong medical secretary or healthcare administration background who thrives in a fast-moving clinical setting. Youll interact regularly with physicians, patients, families, internal departments, and external healthcare partners, making communication, organization, and follow-through essential to your success.

Your Responsibilities
Youll coordinate clinic schedules and appointments across multiple healthcare providers, ensuring changes and priorities are communicated promptly.
Youll prepare detailed patient rosters and help coordinate day-to-day clinic activities.
Youll track appointments, diagnostic testing, laboratory work, imaging, and other patient requirements, following up to ensure timely completion.
Youll serve as a key point of contact for patients and families, providing instructions and coordinating required follow-up.
Youll manage physician calendars, meetings, correspondence, forms, urgent requests, and other administrative requirements.
Youll liaise with internal hospital departments and external organizations to resolve scheduling and administrative matters.
Youll manage competing priorities while maintaining accurate documentation and timely communication with stakeholders.
Skills and Qualifications
23 years of medical administration, medical secretary, physician support, or related healthcare administrative experience.
Previous experience supporting physicians and coordinating activities within a hospital, clinic, or other busy healthcare environment.
Strong experience managing complex calendars, appointments, patient follow-up, and multiple competing priorities.
Excellent written and verbal communication skills with a professional and compassionate approach to patients and families.
Strong attention to detail, organization, judgment, and ability to follow through on time-sensitive requirements.
Previous experience within a large hospital environment is considered a strong asset.
Ability to work effectively with physicians, patients, families, healthcare professionals, and internal and external stakeholders.
