Your Responsibilities
You'll manage complex calendars, scheduling priorities, and meeting coordination for senior leaders and key stakeholders
You'll coordinate internal and external meetings, prepare agendas, and capture meeting minutes and action items
You'll support administrative activities related to research projects, publications, grant submissions, and departmental initiatives
You'll prepare correspondence, presentations, reports, and other confidential documentation
You'll organize special events, visitor logistics, and departmental meetings while ensuring a professional experience for attendees
You'll process travel arrangements, expense reports, invoice tracking, and other financial administration tasks
You'll collaborate with internal departments including Finance, Human Resources, Legal, Education, and Research Services to support operational needs
Skills and Qualifications
3+ years of progressive administrative, executive assistant, or senior administrative support experience
Demonstrated experience supporting multiple leaders and managing complex scheduling requirements
Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
Strong experience coordinating meetings, events, travel arrangements, and expense reconciliation
Excellent written and verbal communication skills with a polished and customer-focused approach
Proven ability to work independently, prioritize competing deadlines, and adapt within a fast-paced environment
Previous experience within healthcare, research, academic, or scientific settings is considered an asset
