What you will be doing….

As part of the NSCC International team, the Administrative Assistant will:

  • Provide administrative, operational, and financial support to the Director, International and team.
  • Support departmental operations through financial administration, coordination activities, and stakeholder communication in a fast-paced post-secondary environment.

Key responsibilities include:

  • Providing day-to-day administrative and operational support for departmental initiatives, programs, and projects.
  • Coordinating meetings, travel, workshops, and events (virtual and in-person) for staff, students, external partners, and stakeholders, including logistics, documentation, and follow-up actions.
  • Leading financial processes including invoice and procurement documentation, budget tracking, expense reconciliation, vendor management, and troubleshooting discrepancies.
  • Maintaining departmental records, trackers, and documentation using systems such as Excel, SharePoint, and Cognos to support reporting, projects, and operational activities.
  • Building and maintaining relationships with internal departments, vendors, and external stakeholders to support effective service delivery.
  • Supervising the day-to-day activities of the student office assistant, including task delegation, training, and ongoing guidance.
  • Managing inventory control processes, including tracking, monitoring, and maintaining departmental supplies.
  • Ensure NSCC and funding agencies policies and procedures are adhered to in all administrative and operational activities.

What you'll need

Qualifications

Qualifications and Occupational Experience:

  • The minimum educational qualification for this position is a post-secondary diploma in business or a certificate in office administration. High school completion with significant years of administrative experience will also be considered.
  • You have a minimum of 3 years of recent and related occupational experience at senior levels in a fast-paced office environment.
  • Excellent computer skills are required, with strong proficiency in Microsoft Office applications including Word, Excel, SharePoint, and Forms.
  • Experience using Adobe, virtual meeting platforms, and Cognos. Familiarity with Oracle would be considered an asset with a willingness to learn new technology.
  • Experience in the post-secondary or international environment would be considered an asset
  • Knowledge of financial procedures, administrative and process improvement practices.
  • Strong documentation, records management, and data tracking skills are required.
  • Ability to maintain confidentiality and manage sensitive information appropriately.
