Job Description:

Note: This is for 1 Regular Full-Time vacancy. This is a hybrid position with occasional in-person work based in London, Ontario.  This position is deemed a critical replacement vacancy.

Hours: Monday to Friday, 8:30 a.m. to 4:30 p.m.  

Why this Role is Important

Fanshawe College is undergoing an exciting multi-phase Cloud ERP transformation project called Fanshawe One powered by Workday, a strategic initiative aimed at modernizing our core administrative systems for employees and students. The project was designed with 3 phases: Phase 1 Core Human Capital Management (HCM) and Finance, Phase 2 Adaptive Planning and Phase 3 Student.  With Phase 1 & 2 complete, we have created a Workday Sustainment Team to support the HCM, Finance, and Adaptive Planning modules. 

We are seeking dedicated professionals to join the Workday Sustainment Team and support the ongoing success of our Fanshawe One powered by Workday implementation. As we transition from legacy systems, this team plays a vital role in ensuring smooth operations, continuous improvement, and user support.

Under the general direction of the Workday Sustainment Lead - HCM, the Workday Sustainment Analyst - HCM supports the configuration, implementation, and maintenance of Workday human resource modules to ensure they meet organizational HR needs and enhance user experience. This role involves assisting with HR projects, integrating Workday into existing workflows, and working with cross-functional teams to optimize system performance. The Analyst helps manage employee data, ensures its accuracy and compliance, generates reports and dashboards to aid HR decision-making, and conducts system testing and quality assurance checks to ensure data accuracy, functionality, and compliance with HR processes. Additionally, the Analyst helps improve operational processes, maintains standard operating procedures, and provides support to end-users.

How You’ll Make an Impact

Workday Support & Subject Matter Expert

  • Provide ongoing SME support for Workday modules including Core HCM, Benefits, Absence, and Time Tracking

  • Provide ongoing general support for Workday modules including Recruiting, Compensation, Talent Management, Payroll

  • Work directly with HR staff on Workday enhancements and change requests including requirement gathering, solutioning, testing and stabilization

  • Oversee incident management processes to ensure timely resolution of system-related issues and provide ongoing support.

  • Identify and address incorrect use of the system by end users, including issues related to compliance, process adherence, and financial accountability reporting (FAR).

  • Actively participate in user groups, forums, and training opportunities to maintain and enhance expertise in Workday Human Capital Management (HCM).

  • Conducts training sessions and drop-in sessions providing guidance to HR staff and end-users on Workday functionality refreshers, updates, and best practices.

  • Assist with the development of comprehensive training materials, user guides, and documentation to support and enhance user knowledge and experience.

Configuration and Optimization

  • Troubleshoot and resolve configuration issues or bugs with HR processes in Workday.

  • Manage, analyze, and configure changes within Workday HCM to ensure HR business processes align with Fanshawe’s goals, employment legislation, collective agreements, and college policies.

  • Continuously identify and implement improvements based on evolving HR needs, including changes in legislation, collective agreements, and institutional requirements.

  • Ensure all Workday configurations remain consistent with business requirements and compliance standards.

  • Review system updates from Workday to evaluate new features and determine their relevance to HR operations and processes.

  • Participate in testing Workday updates, patches, and new releases, including developing test plans, test cases, and scripts to support HR modules.

  • Develop and maintain process documentation for configured workflows. 

  • Test and configure calculated fields for strategic planning based on employment data, legislative, and collective agreement changes.

  • Perform audits of HR processes and Workday configurations to ensure compliance with collective agreements and legislative changes, working closely with HR teams to support audit activities and address any identified issues.

Human Resources Data

  • Analyze data for accuracy, quality, and consistency, ensuring reports meet Fanshawe and compliance requirements.

  • Respond to requests for ad-hoc reports, interpreting and providing analysis of HR data as needed.

  • Provide confidential and sensitive data to support strategic decision-making for HR leadership and executive teams.

  • Ensure data accuracy and consistency in reports provided for human resource audits.

  • Support data migration and cleanup efforts when required, ensuring compliance with data governance policies and best practices.

  • Develop and maintains custom human resource reports and dashboards

What You'll Bring

  • Post-secondary 3 year diploma/degree or equivalent in Human Resources Management, Business Administration, or a related field

  • Minimum 5 years human resources experience with reports, analysis and sound understanding of human resource operations in a human resource information system (HRIS) context

  • Minimum 2 years experience supporting HCM Benefit module providing technical and functional support in a Workday environment required

  • Experience with Core HCM, Time Tracking, Absence and Compensation preferred

  • An equivalent combination of education and experience may be considered

  • Familiarity with union and non-unionized working environments would be an asset

  • Knowledge of HR modules and reporting tools

  • Understanding of HR procedures, policies, and collective agreements

  • Experience in supporting HR-related projects and enhancing operational processes for efficiency

  • Excellent verbal and written communication skills for interacting with stakeholders

  • Ability to handle multiple tasks with attention to detail

  • Ability to adapt to changes and contribute to process improvement
