About the Opportunity
Our client in the regulatory and public sector space is seeking a detail-oriented Administrative Assistant to support their Complaints and Practice Investigations team. This team plays a vital role in reviewing and managing complaints from the public, ensuring accountability and upholding professional standards in a highly regulated environment.
In this role, you’ll work closely with complaint navigators, case administrators, and department leadership to ensure all incoming complaints are accurately processed and prepared for review. Your ability to manage sensitive information with care and precision will directly contribute to fair, timely outcomes that support both public trust and professional oversight.

Your Responsibilities
• You’ll open, collate, and summarize incoming complaint files received via mail, email, and fax
• You’ll follow up with complainants to request additional information prior to file creation
• In this role, you’ll manage correspondence, medical records requests, and maintain accurate tracking systems
• You’ll respond to inquiries from licensees, legal counsel, and members of the public regarding complaint processes
• You’ll liaise with internal departments to gather relevant documentation and support investigations
• You’ll draft and proofread correspondence while maintaining strict confidentiality standards
Skills and Qualifications
• 2–3 years of administrative experience, or equivalent education such as an office administration diploma
• Strong attention to detail with exceptional editing and proofreading skills
• Excellent written and verbal communication skills, with the ability to handle sensitive information with discretion
• Proficiency in Microsoft Outlook, Word, Excel, and Adobe tools
• Ability to prioritize work, manage multiple tasks, and remain calm in a high-volume environment
• Familiarity with healthcare environments or medical terminology is considered an asset
Additional Details
• Flexible part-time schedule, with a preference for set working days that include Monday and/or Friday
• You’ll report to the Practice Investigation Manager and collaborate with multiple managers and the Director
• Candidates will complete Microsoft Word and Excel assessments as part of the hiring process
