About the Opportunity
An established professional services organization is seeking a Proposal Writer to support high-impact business development and client growth initiatives. This role is responsible for developing compelling pitch materials, proposals, and credentials in response to RFPs, RFQs, RFIs, and other new business opportunities.
The Proposal Writer will play a key role in shaping strategic messaging, managing proposal processes end-to-end, and collaborating with cross-functional teams to deliver high-quality, client-focused submissions. Key Responsibilities
Proposal Development & Strategy
- Lead the development of pitch, proposal, and credentialing materials across multiple practice areas and industries
- Participate in go/no-go and strategy meetings, contributing insights and recommendations
- Conduct research on prospective clients and opportunities to inform tailored submissions
- Develop win themes, differentiators, and overall proposal strategies
- Provide recommendations on content structure, format, and positioning
Project Management
- Manage the full proposal lifecycle from initiation to submission
- Establish timelines, workback schedules, and ensure alignment across stakeholders
- Track opportunities and maintain proposal documentation and internal libraries
- Coordinate with internal teams to gather required inputs and ensure timely delivery
Content Development
- Write, edit, and tailor compelling proposal content aligned with client needs
- Adapt existing materials to suit specific opportunities and contexts
- Collaborate with subject matter experts and internal stakeholders to gather information
- Ensure consistency in messaging, tone, and alignment with organizational branding
Finalization & Submission
- Edit and proofread materials for clarity, accuracy, and compliance with submission requirements
- Ensure all documents meet quality standards and branding guidelines
- Coordinate submission processes, including online and hard copy delivery where required
- Take ownership of the final product, ensuring high-quality, timely delivery
Post-Submission & Continuous Improvement
- Support tracking, reporting, and follow-up on submitted proposals
- Participate in internal and external debriefs to identify areas for improvement
- Update proposal content, templates, and knowledge repositories
- Contribute to broader business development initiatives, including legal directory submissions, experience lists, and client development materials
Qualifications & Experience
- Post-secondary degree or diploma, or equivalent professional experience
- Minimum 5 years of proposal writing, business development writing, or research experience, preferably within a professional services environment
- Proven experience managing proposals end-to-end, including strategy, writing, and submission
- Experience working with sales teams and subject matter experts
- Strong proficiency in Microsoft Office Suite
- Exceptional writing, editing, and storytelling abilities with a focus on persuasive, client-centric content
- Strong project management and organizational skills with the ability to manage multiple deadlines in a fast-paced environment
- Excellent interpersonal and communication skills, with the ability to collaborate across all levels of an organization
- High attention to detail and strong analytical thinking skills
- Ability to handle confidential information with discretion
- Self-motivated, proactive, and results-driven with a hands-on approach
