About the Opportunity
Our client, a growing organization in the construction and field services sector, is looking for a detail-oriented Bookkeeper and Office Administrator to play a central role in keeping both the financial operations and the office running smoothly. Reporting to the Vice President, you will manage the full scope of day-to-day bookkeeping while also acting as the operational hub for a small, collaborative office team.
This is a unique opportunity to take ownership of a role that blends finance, operations, and administration. You will support a team of approximately 15 to 20 field staff, coordinate closely with an external accounting firm, and ensure the office operates efficiently day to day. Your Responsibilities
You’ll manage day-to-day bookkeeping across multiple entities, including journal entries, reconciliations, and financial record maintenance in QuickBooks
In this role, you’ll administer biweekly payroll for both hourly and salaried employees, ensuring accuracy and timely processing
You’ll oversee accounts receivable activities including invoice preparation, billing communication with clients, and collections tracking
You’ll coordinate financial processes such as HST filings, T4 preparation, WSIB reporting, and supporting year-end and audit activities
You’ll ensure the office runs smoothly by managing supplies, coordinating travel and lodging for field staff, and supporting general office operations
You’ll work closely with the external accounting firm and internal leadership to prepare financial reports and support monthly close activities
Skills and Qualifications
2+ years of bookkeeping or accounting experience in a small business or multi-entity environment
Strong understanding of core accounting principles including accounts payable, receivable, reconciliations, and payroll
Hands-on experience with QuickBooks and strong proficiency with Microsoft Excel and the MS Office suite
Exceptional attention to detail and strong organizational skills with the ability to manage multiple priorities independently
Clear and professional written and verbal communication skills
A reliable and proactive approach, with the ability to maintain confidentiality and manage sensitive financial information
