The Project Manager – Mechanical Engineering is responsible for the delivery of projects, and supporting others in the delivery of their projects in collaboration with a team consisting of engineers/designer and drafters. The role includes elements of project management methodology, technical design, client interaction, working on more than one project at a time, compliance with deliverables, meeting timelines, and working within project budgets. The PM must ensuring all projects have a project governance and delivery framework, monitoring and tracking to ensure that projects are delivered using that framework, developing methods and tools allowing staff to perform their work, ensuring the delivery of tasks and responsibilities as defined in each job description, monitoring, tracking, and reporting on overall budgeting, forecasting, and cashflow, ensuring all deliverables meet the company’s quality expectations, and reporting to management on potential issues, delays, risks, that may affect either scope, schedule, or budgets.
The PM will also act as the prime point of contact towards clients and project stakeholders, provide reports to management, prioritizing projects to meet strategic business objectives such as monthly billing objectives, plan and schedule resources efficiently, forecast and enable resource capacity planning, streamline and automate processes and workflows, utilize lessons learned, and facilitate team interdisciplinary collaboration and communication.
This role will also include some mechanical building system design and will therefore involve the preparation of HVAC, plumbing, and sprinkler related designs, reports, and judgment for residential, commercial, industrial, and institutional building systems including, but not limited to, preparing communications, acting as the point of contact with clients, tracking and communicating project progress with stakeholders, preparing reports and developing designs through pre-conception and planning, permit drawings, tender drawings and specifications, and construction documentation.
1. Project Management (when required):
Receive project details and stakeholder contact information from various sources including management.
Attend kick-off meeting and fill-in kick-off meeting checklist.
Establish the projects’ governance and delivery framework.
Deliver the project following that framework.
Ensure Client Requirement Checklist and Design Process Checklist are completed for every project.
Engage, interact with, and act as the prime point of contact with the Clients and Stakeholders.
Communicate and liaise with clients and stakeholders to ensure and gauge their satisfaction.
Engage, interact with, and act as the prime point of contact for all internal coordination with Mechanical and Electrical ensuring interdisciplinary coordination and integration.
Track project progress (scope, schedule, and quality), identify areas of improvement, and areas of concern.
Monitor and track all projects for hours planned, hours spent, and hours remaining.
Use various project tracking and reporting sheets and tools in the execution of work.
Flag to management when budgets are at risk to be exceeded.
Follow-up with both Mechanical and Electrical Managers to ensure that every item of work to be sent out is reviewed for quality, coordination, and completeness.
Report to management any items to be addressed, issues, or risks.
Follow up.
2. Invoicing (Weekly / Monthly):
Provide status report to the General Manager on the month’s planned invoicing amount.
Provide forward looking forecast of planned monthly invoicing.
3. External Communication / Coordination (when required):
Act as prime and communicate deliverables, RFIs, CCNs, Shop Drawing reviews, SIs, etc, from the company externally to Clients and stakeholders such as architects, structural engineers, civil engineers, acoustic consultants, etc.
Follow-up to obtain information required for the team to work.
Package Mechanical and Electrical information together prior to transmitting.
5+ years of experience in managing multiple building system projects simultaneously
Strong understanding of HVAC, plumbing, and sprinkler design
Confidence in client-facing communication
Solid financial acumen (budget tracking, forecasting, invoicing)
Detail-oriented with strong coordination skills
Ability to lead interdisciplinary collaboration
Experience in building systems and mechanical design/engineering
Proficiency in MS Office, including Excel
Experience reviewing drawing plans
A valid driver’s license and access to a vehicle is required

Compensation for this position will be determined based on a variety of factors, which may include relevant education, credentials, certifications, professional experience, skill set, level of seniority, individual performance, and organizational requirements.
