Location: Toronto, ON, On-site 5 days per week

About the Opportunity

Our client, a respected regulatory organization within the public sector, is seeking a detail-driven HR Coordinator to support a key records management and recruitment initiative. With a close-knit team of under 50 employees and a collaborative HR function of two, this role plays an important part in modernizing systems and strengthening internal processes.

You will contribute to a large-scale digitization and data clean-up project, helping bring structure and consistency to HR records. Your work will directly support operational efficiency and governance processes, ensuring information is organized, accurate, and accessible.

Your Responsibilities

  • You’ll review, inventory, and map digital HR files, identifying inconsistencies, duplicates, and outdated records in alignment with retention guidelines.

  • In this role, you’ll help design a future-state folder structure and standardized naming conventions to improve organization and accessibility.

  • You’ll digitize physical HR files and ensure accurate, secure record keeping.

  • You’ll analyze system-generated reports, including employment and payroll data, using Excel tools such as VLOOKUPs and pivot tables to identify discrepancies.

  • You’ll screen resumes against established competency criteria, shortlisting candidates for governance committees using structured evaluation grids.

Skills and Qualifications

  • 1 to 3 years of HR administration or recruitment support experience, including resume screening

  • Post-secondary education in Human Resources or a related field preferred

  • Demonstrated experience working with large volumes of digital files and shared drives

  • Strong proficiency in Microsoft 365, particularly Excel, including VLOOKUPs and pivot tables

  • Highly detail-oriented with strong organizational and time management skills

  • Proactive, reliable, and comfortable working independently while collaborating with a small team
