About the Opportunity
Our nonprofit client is seeking an Executive Assistant to support the Office of the President and CEO. Reporting to the Corporate and Board Secretary, this role provides high-level administrative and operational support to ensure the smooth and efficient functioning of the President and CEO’s Office.
This position is ideal for a proactive, detail-oriented professional who thrives in a fast-paced executive environment. You will act as a key liaison between the President and CEO’s Office and internal and external stakeholders, managing competing priorities with discretion, sound judgment, and professionalism. Your ability to anticipate needs, streamline processes, and safeguard confidential information will be critical to success.

Responsibilities
- Provide comprehensive administrative and operational support to the President and CEO’s Office, ensuring efficient and effective day-to-day operations.
- Manage acomplex calendar, scheduling meetings, appointments, and events while proactively resolving conflicts and aligning commitments with organizational priorities.
- Coordinate logistics for meetings, special events, and travel, including preparing agendas, managing invitations and guest lists, booking facilities, arranging catering, and overseeing travel arrangements.
- Screen, prioritize, redirect, and respond to communications and requests with tact and discretion.
- Research, draft, review, and coordinate translation of documents, reports, presentations, meeting materials, and correspondence.
- Implement and maintain an effective and accessible electronic filing and document management system.
- Prepare detailed Business Expense Claims and submit Requests for Payment for the office.
- Oversee special projects and initiatives as assigned by the President and CEO and Corporate and Board Secretary.
Qualifications
- College diploma in Office Administration, Office Management, or a related field preferred.
- 3+ years of progressive experience providing administrative support within an executive office.
- Strong written and verbal communication skills in both official languages (English and French) required
- Strong proficiency with Microsoft Office Suite.
- Demonstrated ability to manage sensitive and confidential information with a high degree of professionalism and discretion.
- Excellent organizational skills, accuracy, and attention to detail.
