Your Responsibilities
Responsibilities will include but may not be limited to the following;
Investment Processing & Transaction Support- You’ll process investment subscriptions, renewals, reinvestments, and redemptions with accuracy and efficiency.
- Review investment documentation for completeness and regulatory compliance, including KYC and AML requirements.
- Confirm funding instructions, reconcile incoming funds, and coordinate settlement activities with internal stakeholders
- Monitor workflow queues to ensure transactions are processed accurately and service-level expectations are consistently met
- Maintain precise transaction records and provide timely funding and settlement confirmations to clients and advisors
Client Service & Relationship Support- Serve as a key point of contact for investor, advisor, and broker inquiries related to accounts, investments, redemptions, policies, and processes by phone and email
- Support client onboarding and account administration, including account setup, documentation collection, and ongoing account updates
- Escalate complex client issues to the appropriate internal teams while maintaining ownership to ensure timely follow-through and resolution
Records Management & Data Integrity- Maintain accurate client and investment records across CRM and internal systems, supporting audits and reporting
- Assist in producing daily, weekly, and monthly reports including pipeline, investment activity, and asset updates
- Monitor and resolve data discrepancies, exceptions, and incomplete records
Cross-Functional Collaboration- Collaborate with sales team to support investor interactions, advisor relationships, and pipeline management, and operations, compliance, finance, and legal departments to ensure documentation accuracy and adherence to regulatory requirements
- You’ll provide administrative and operational support during audits, reviews, and workflow testing.
- Participate in process improvement initiatives, contributing to the enhancement of client experience, efficiency, and controls.
Administrative & Team Support- Provide comprehensive administrative support, including scheduling, preparing meeting materials, organizing documentation packages, and compiling reports
- Assist with internal communications and investor correspondence, including the preparation and distribution of updates
- Support special projects, events, and ad hoc initiatives as directed by leadership
- Maintain an organized and efficient workflow system to support a high-volume, fast-paced environment
Skills and Qualifications
- 2–4 years of experience in financial services, ideally in alternative investments, wealth management, private credit, or investment operations
- A client-service mindset with a polished, professional approach
- Exceptional attention to detail paired with strong administrative and organizational skills
- Proficiency with CRM systems and Microsoft Office Suite, especially Excel and Outlook
- Effective written and verbal communication skills
- Ability to work autonomously while managing competing priorities in a deadline-driven environment
