We are supporting out client, a crown corporation who is seeking a Program & Events Coordinator for a 12-month contract with possibility of extension. who will play a key role in the delivery of a large-scale education-focused conference. This role will manage event logistics, stakeholder coordination, and on-site operations while supporting post-event evaluation and reporting. The ideal candidate will bring proven experience in event management, strong organizational skills, and the ability to navigate multiple stakeholders in a fast-paced environment.
Roles and Responsibilities
- Coordinate all aspects of event planning and logistics, including timelines, budgets, vendor contracts, registration, communications, and venue management.
- Support operational planning and coordination activities leading up to the conference, ensuring all requirements, deliverables, and deadlines are met.
- Collaborate with internal teams and external partners on program development, materials preparation, and participant engagement.
- Manage and oversee on-site conference operations, including staff coordination, issue resolution, and execution of event-day logistics.
- Prepare project documentation, including work plans, risk logs, and status updates using project management tools (e.g., ClickUp or similar platforms).
- Conduct post-event evaluation, prepare debrief reports, and identify lessons learned to inform future initiatives.
- Provide ongoing administrative and project support to the Manager, Operations and Special Projects.
- Monitor and support contract and vendor management activities, ensuring alignment with organizational standards and procurement policies.
Qualifications and Skills
- Post-secondary education in Event Management, Project Management, Communications, or a related field.
- 5+ years of progressive experience coordinating large-scale events, conferences, or summits, ideally within the public, education, or not-for-profit sectors.
- Demonstrated success leading projects from conception through execution within established timelines and budgets.
- Strong stakeholder management and relationship-building skills; able to collaborate effectively across diverse teams and manage competing priorities.
- Excellent verbal and written communication skills, with experience preparing reports, briefings, and presentations for senior audiences.
- Advanced problem-solving, organizational, and analytical skills, with a high level of political acuity and sound judgment.
- Proficiency in project management and collaboration tools (e.g., ClickUp, MS Project, SharePoint, or similar), and standard office software (MS Office Suite).
