Our client is seeking an experienced Executive Assistant to provide high-level support to two executives within their Brand department. This role requires a proactive, organized, and adaptable professional who thrives in a fast-paced, growth-oriented environment. You’ll help maximize leadership effectiveness through expert coordination, attention to detail, and strong communication.
You’ll manage complex scheduling, travel, and correspondence while supporting broader business initiatives and projects. You’ll also collaborate closely with a high-performing group of Executive Assistants across the organization who share a commitment to operational excellence and continuous improvement.
This is a hybrid contract position requiring 2-3 days per week onsite at the client's office in North Vancouver. Candidates must be legally eligible to work in Canada.
Key Responsibilities
- Provide exceptional executive administrative support, including proactive calendar management and prioritization based on business needs
- Manage inbox organization and correspondence to ensure timely communication and follow-up
- Arrange domestic and international travel, including detailed itineraries and logistics
- Coordinate market visits, onsite/offsite meetings, and team-building events
- Prepare agendas, meeting notes, and presentation materials
- Partner with Finance to manage budgets and expense reports
- Collaborate with Facilities to support office operations and in-person needs
- Lead and share best practices within the Executive Assistant team, helping to create efficiencies and training opportunities
- Maintain professionalism, discretion, and confidentiality in all interactions
- Develop and refine administrative processes to support operational efficiency
- Contribute to special projects and assist in decision-making, planning, and implementation initiatives
About You
- 2–3 years of experience supporting senior leaders (VP level or equivalent) in an Executive Assistant or similar role
- Advanced proficiency with Microsoft Office and strong overall business acumen
- Exceptional time management, judgment, and prioritization skills in a fast-paced environment
- High emotional intelligence and professionalism; able to manage sensitive information with discretion
- Strong relationship builder who enjoys connecting across teams and departments
- Skilled in organizing complex, multi-leg international travel and adapting quickly to changing plans
- Comfortable working both independently and collaboratively
- Occasionally available to work flexible hours to support global business needs
- Creative, solution-oriented, and passionate about continuous improvement
