Location: Ottawa, ON
Hours: Full-time, Monday–Friday, 8:00 AM – 4:00 PM
Assignment Length: Approx. 6–8 weeks
Role Overview
Seeking an administrative assistant tto support the Chief of Staff during a medical leave. The current incumbent has long-standing institutional knowledge, strong communication skills, and excellent time management. The replacement doesn't need to match that level of expertise but must be highly adaptable, organized, and personable.
Top Priorities / Key Responsibilities
- Calendar and email management for the Chief of Staff (email triaging is a major focus)
- Preparation of briefing notes and documents for review/signature
- Scheduling and meeting preparation (agendas, research, documentation)
- Drafting correspondence and PowerPoint presentations
- Liaison with hospital departments, university contacts, and external stakeholders
- Supporting Medical Staff Liaison and Credentialing Specialist
- Filing systems, expense reports, and occasional HR/Finance support
Candidate Profile
- 3–5 years of admin or executive assistant experience
- Strong communication, relationship-building, and time management skills
- Ability to work under pressure and adapt quickly
- No medical background required, but familiarity is a plus
- Friendly, professional, and proactive personality
Other Requirements
- Onsite work required (1145 Carling Ave)
- English only; French not required
- Must adhere to the vaccination policy and provide:
- Signed attestation immunization checklist (verified by physician)
- 2-step TB test (or valid previous documentation)
- Clear criminal record check (within last 6 months)
