Our client, a respected organization within the broader public sector, is seeking an Administrative Assistant to provide high-quality administrative and committee support to their student services and academic operations teams. The ideal candidate will be detail-oriented, organized, and capable of handling multiple priorities in a fast-paced environment while maintaining accuracy and professionalism.
Key Responsibilities
Committee Coordination: Schedule meetings, prepare and distribute agendas and supporting materials, take and transcribe minutes, and follow up on action items.
Student Administration Support: Process registration-related paperwork such as permissions to register, transfer credit requests, and other student record adjustments.
Data Entry and File Tracking: Support the tracking of student affairs case files, ensuring information is accurately entered and maintained in internal systems.
Website and SharePoint Updates: Revise and post content based on provided information, ensuring accuracy and consistency across web and SharePoint platforms.
Administrative Documentation: Prepare and process HR- and finance-related paperwork, including contracts, expense reports, and other forms.
General Administrative Support: Draft correspondence, manage electronic files, maintain accurate records, and provide general office coordination as required.
Qualifications
Post-secondary education in business administration or a related field, or equivalent combination of education and administrative experience.
Minimum of 2–3 years of administrative experience, ideally within an educational or public sector setting.
Strong attention to detail, organizational, and time management skills.
Proficiency with Microsoft Office (Word, Excel, Outlook, SharePoint) and comfort learning new systems.
Excellent written and verbal communication skills, with a professional and diplomatic approach.
Proven ability to work both independently and collaboratively in a team-oriented environment.
Experience preparing meeting materials, taking minutes, and managing confidential records is an asset.
Work Arrangement
The position is based at our client’s Surrey campus. Preference will be given to candidates who can work on-site five days per week; however, a hybrid arrangement can be discussed.
