Office Coordinator

We’re looking for an organized, proactive, and collaborative Office Coordinator to join our clients growing team. This is a newly created role designed to support the Office Manager and ensure smooth day-to-day operations across administrative, financial, and project-based functions.

What You’ll Do
- Anticipate and handle administrative needs to keep projects and daily operations on track.
- Create and maintain both digital and physical filing systems, including the company’s Business Process Operations Manual (BPOM).
- Oversee shipping and receiving logs, issue purchase orders for materials, and process supplier invoices and payments.
- Coordinate schedules, book meetings and travel, and record meeting minutes.
- Develop and refine office procedures to support team productivity.
- Manage incoming communication (calls, emails, mail, client requests) and direct them appropriately.
- Handle outgoing correspondence, mail, and courier services.
- Greet visitors and provide front-desk support as needed.
- Maintain office and kitchen supplies, and ensure meeting rooms are ready for use.
- Draft, proofread, and edit a variety of business documents and presentations.
- Liaise with external vendors and oversee maintenance or janitorial services.
- Gather and organize data to support internal research and reporting.
- Help plan and coordinate company events, conferences, and trade shows.
- Support accounting with bank reconciliations and vendor payments.
- Assist the IT team with device setups and basic support requests.
- Take on special projects that involve research, data analysis, or process improvement.
What We’re Looking For
3–5 years of administrative or coordination experience, ideally within retail, wholesale, or food-related environments.
Leadership or experience guiding or mentoring others is a plus.
Strong attention to detail, organization, and follow-through.
Xero, Teams, Slack, and Lightspeed experience is a plus
A self-starter who can juggle multiple priorities and thrives in a fast-paced office setting.
