Our client in the non-profit sector is seeking a Bilingual Executive Assistant to join their team on a full-time contract until March. This is a hybrid role, with in-office attendance required 1–2 days per week.

The Executive Administrative Assistant will provide essential support to the Executive and Division by managing day-to-day operations, coordinating administrative activities, and ensuring the smooth flow of information across the organization. This role requires a highly organized professional with strong communication, coordination, and problem-solving skills, who thrives in a fast-paced environment and can handle confidential information with discretion.

The successful candidate will act as the primary point of contact for internal and external stakeholders, support executive decision-making, oversee key administrative and financial processes, and contribute to the overall efficiency and success of the Division.

Roles and Responsibilities

  • Provide comprehensive administrative support to the Executive, including calendar management, correspondence, and task prioritization.

  • Plan, organize, and coordinate meetings, events, and travel arrangements.

  • Serve as secretary and coordinator for various committees and working groups — preparing agendas, recording and distributing minutes, monitoring follow-up actions, and ensuring deadlines are met.

  • Facilitate effective communication and collaboration across divisions to ensure seamless information sharing.

  • Prepare and review a variety of professional documents, including reports, presentations, and correspondence.

  • Support financial administration by assisting with budget preparation, expense tracking, and financial reporting.

  • Advise management on the administrative implications of policies, procedures, and operational changes.

  • Assist with human resources and employee relations activities within the Division.

  • Maintain organized and efficient record-keeping and information management systems.

  • Perform other related duties as required to support the Executive and the Division’s priorities.

Qualifications and Skills

  • Bilingualism (English and French) with strong writing and communication skills in both languages.
  • Minimum of three (3) years of experience providing administrative support at the executive level.
  • Proven experience coordinating schedules, meetings, and travel for senior leadership.

  • Experience drafting reports, professional correspondence, and presentations.

  • Demonstrated ability to interact professionally with senior leaders and external stakeholders.

  • Experience developing office procedures, work plans, and managing budgetary requirements.

  • Proficiency with Microsoft Office 365 and financial reporting systems.
