Our client, a respected national association headquartered in downtown Ottawa, is looking for a Bilingual Accounts Payable Specialist to join their finance team. This role supports day-to-day accounting operations, ensuring accurate and timely processing of invoices, payments, and expense claims. The ideal candidate brings strong attention to detail, fluency in both English and French, and a passion for supporting the work of a mission-driven organization.
Responsibilities:
Process vendor invoices, employee expense claims, and credit card reconciliations with accuracy and timeliness.
Review and match invoices with purchase orders, contracts, and approvals in accordance with internal policies.
Prepare weekly and monthly payment runs (EFT, wire, cheque) and ensure supporting documentation is complete.
Monitor accounts to ensure payments are up to date and respond promptly to vendor inquiries.
Maintain accurate AP records and assist in month-end closing activities (accruals, reconciliations, and reporting).
Support year-end audit preparation by providing documentation and reconciliations related to payables.
Track and allocate expenses to appropriate cost centers, programs, or grants.
Collaborate with internal departments to resolve discrepancies and improve payment processes.
Assist with process improvements, automation initiatives, and implementation of AP best practices.
Provide bilingual support (English/French) in vendor and internal communications.
Experience & qualifications
3+ years of experience in Accounts Payable or general accounting, ideally in a nonprofit or association sector.
Fluency in English and French (verbal and written) required. *French Testing required
Post-secondary education in Accounting, Finance, or Business Administration.
Strong understanding of full-cycle AP, vendor management, and expense policy compliance.
- Eligible to work in Canada and able to commute to downtown Ottawa 3 days per week.
