Our client, a reputable and well-known non-profit organization, is searching for a resourceful and highly organized Executive Assistant to support a C Suite Executive with daily administrative tasks. This is a contract opportunity with the possibility of extension, and you will play a vital part in maintaining structure in the executive’s schedule and day-to-day operations, allowing for greater focus on strategic leadership efforts. You’ll act as a key partner in coordinating tasks, managing time, and keeping priorities aligned.
Responsibilities:
Compile agendas, background documents, and presentation materials for upcoming meetings.
Record key discussion points and meeting minutes, capture next steps, and follow through on action items.
Set up and support both virtual and in-person meetings and oversee coordination of meeting logistics such as room bookings, catering needs, and technology setup.
Organize and maintain files, records, and other materials with a high degree of confidentiality.
Prepare expense claims, track reimbursements, and oversee accuracy of data in financial system.
Assist with planning and organizing training events.
Help support project initiatives and workflows by tracking timelines, deliverables, and status updates on executive-led initiatives.
Coordinate all travel-related arrangements including flights, hotel bookings, and full itinerary planning.
Oversee the executive's schedule and calendar.
What We're Looking For:
Minimum of 3 years in a senior administrative or executive assistant role.
Strong background in meeting coordination, managing expense claims, calendar management, and travel coordination.
Fluency in French considered a strong asset.
Must be flexible to work hybrid on site 1–2 days/week.
Excellent written and verbal communication skills.
Ability to work independently with strong adaptability while managing a fast-paced environment with competing priorities.
Experience working in the non-profit sector considered a strong asset.
