Project Administrator – Documentation & Proposal Support
Location: Toronto, ON (Hybrid)
Salary: $70,000–$75,000
Our client, a leading consulting firm in the resource management sector, is seeking a Project Administrator with exceptional documentation and formatting skills to join their team. This role is ideal for a highly organized professional who thrives in a fast-paced, detail-driven environment, enjoys working with complex documents, and takes pride in producing polished, client-ready materials.
What You’ll Do
Prepare, proofread, and format high-quality proposals, reports, and project documents in line with corporate standards and client requirements.
Manage and maintain document templates, style guides, and version control.
Provide administrative and coordination support to project teams, including scheduling meetings, tracking deliverables, and maintaining project records.
Assist in the preparation and submission of RFP/RFQ responses, ensuring all documentation is complete, compliant, and visually consistent.
Liaise with internal stakeholders to collect content, confirm technical details, and meet tight deadlines.
Organize and maintain project files using SharePoint and other document management systems.
Support quality assurance checks to ensure accuracy, accessibility (AODA/WCAG), and brand compliance.
What You Bring
3+ years of experience in an administrative or project coordination role with a heavy focus on document preparation and formatting.
Expert-level Microsoft Word skills (styles, templates, tables, cross-references, accessibility formatting); strong Excel and PowerPoint abilities.
Experience working on proposals, RFPs, or other client-facing deliverables in a professional services, consulting, or engineering environment.
Strong attention to detail, grammar, and consistency in formatting.
Proven ability to manage multiple documents and deadlines simultaneously.
Experience with SharePoint, Adobe Acrobat, and accessibility compliance (AODA/WCAG) is an asset.
Excellent written and verbal communication skills.
