Altis Recruitment is grateful to partner with an organization in the Broader Public Sector to support the recruitment of an Investor Relations Administrative Specialist in Toronto. The successful candidate will work alongside dealers, external stakeholders as well as funding, debt and executive team members. The position has become available due to an increased need for administrative support. Experience with calendar management is preferred and proficiency in MS office suite is required.
This position is a 6 month contract opportunity that is working in a hybrid capacity with 3 days a week required on site in DT Toronto.
Previous work administrative support experience in the Broader Public Sector is considered a strong asset.
Key Responsibilities:
- Serve as main contact for information requests, ensuring confidentiality and proper routing.
- Prepare and distribute routine correspondence, reports, and meeting materials.
- Assist with budget tracking, expense processing, and financial reporting.
- Support HR activities, including recruitment documentation and compliance.
- Coordinate facilities, equipment, and accommodation needs; maintain asset inventories.
- Organize meetings, travel, and teleconferences for senior staff.
- Manage records and document control systems.
- Coordinate IT support and office technology requirements.
- Execute special projects and research as requested.
- Provide backup for executive scheduling and reception duties.
Skills & Knowledge:
- At least 2 years of solid administrative experience supporting investor relation functions.
- Previous administrative experience within a government or public sector environment is a big plus.
- Strong proficiency in MS Office (Word, Excel, Outlook, PowerPoint etc.)
- Strong organizational, communication, and interpersonal skills.
- Proficient in office software and records management.
- Ability to handle sensitive information with discretion.
- Independent problem-solving and sound judgment.
- Experience in coordinating multi-department logistics and communication.
