Altis Recruitment is grateful to support the recruitment of an Executive Assistant to join our public-sector client on contract until October 31, 2025, with potential to extend based on business needs and performance within the role.
The Executive Assistant will support the CIO and 4 Directors, provide administrative support for executive meetings including meeting minutes, managing confidential materials, and handling standard office tasks. Previous experience in healthcare settings, supporting IT leadership, or working in IT-related environments is a strong asset.
This is a hybrid position in Downtown Vancouver, requiring 50% in office work with 3 days a week on-site Tuesday - Thursday one week and 2 days a week on-site the following week.
This role is open to all qualified candidates; however, preference may be given to individuals who identify as First Nations, Inuit or Métis and or/have experience working with First Nations, Inuit or Métis communities. The final hiring decision will be based on merit.
Key Responsibilities:
- Provides senior administrative support to the Chief Information Officer and 4 Directors including calendar management, correspondence management, call management, preparation of agendas, meeting materials, travel arrangements and request management.
- Oversees and facilitates invoice and contract processing, including documentation, data entry, and approvals, ensuring completion within deadlines.
- Coordinates, prepares, and reviews expense reports, procurement card statements and other financial claims, and ensures documents have necessary sign offs.
- Oversees the organization of all staff functions, activities, meetings, presentations and events, including all associated logistics in collaboration with colleagues and other departments, as appropriate as well as meeting meetings as needed.
Qualifications:
- Proficiency in MS Office (Word, Excel, PowerPoint), Outlook, and SharePoint.
- Strong organizational and communication skills.
- Experience taking meeting minutes and managing confidential information.
- Ability to work independently and as part of a team.
- Comfortable offering thoughtful solutions when problems arise, presenting options, and making recommendations.
- Experience working in healthcare environments and experience in IT-related settings are considered strong assets
- Familiarity with contract and accounts payable processes
- Experience working alongside First Nations, Inuit, or Métis communities, businesses, or organizations is considered a strong asset.
Work Hours:
- Monday to Friday, 7.5-hour workday
- Flexible start times: 8:00 am - 4:00 pm, 8:30 am - 4:30 pm, or 9:00 am - 5:00 pm
