Our client in the non-profit sector is hiring a Bilingual Administrative Assistant to support its nationally recognized Payroll Infoline Service and Government Legislative Affairs department. This role is ideal for a highly organized, proactive, and detail-oriented professional with a background in finance, scheduling, and compliance who thrives in a structured, high-accountability environment. This position supports a large team of Payroll Compliance Advisors and plays a critical role in calendar coordination, reporting, intake, and administrative support for both internal and external stakeholders.
Responsibilities:
- Manage and maintain schedules for 10+ Payroll Compliance Advisors
- Monitor and respond to the Infoline inbox and voicemail
- Prepare meeting agendas, take minutes, and follow up on action items
- Coordinate speakers and logistics for webinars, seminars, and training sessions
- Process invoices and expense reports using Concur
- Provide basic support to the VP of Government Affairs
- Manage logistics for internal and external meetings including hotel and catering arrangements
- Track and analyze Infoline metrics (volume, response time, coverage)
- Create weekly and monthly dashboards using Excel (including pivot tables)
- Prepare KPI reports across webinars, professional development, and corporate training
- Maintain and analyze survey results using SurveyMonkey
- Assist with meeting scheduling and logistics for quarterly government council meetings
- Liaise with internal departments and external government stakeholders
Qualifications:
- Bilingual in English and French (spoken and written)
- Minimum 3 years of administrative experience in a fast-paced, professional environment
- Post-secondary education in Business Administration or a related field
- Proficiency with Microsoft Excel (pivot tables, charts, dashboards)
- Experience in calendar management and scheduling across multiple stakeholders
- Excellent communication and interpersonal skills; able to work with a range of personalities
- Proven ability to take minutes, manage logistics, and track performance data
- Understanding of finance or payroll terminology is a strong asset
- Confident, diplomatic, and assertive with schedule enforcement
- Able to remain calm and organized in shifting environments
- High level of discretion and professionalism
- Strong attention to detail and ability to meet tight deadlines
- Willingness to support team projects and manage conflicting priorities
- Comfortable working with government bodies and high-level stakeholders
