Our client is seeking a detail-oriented Records/Filing Clerk to join their team on a full-time, on-site basis. This is a contract position with the potential to extend. The successful candidate will be responsible for supporting document and records management processes in a secure, organized, and efficient manner.
-Location: Near Yonge & Bloor, Toronto
-Work model: Fully onsite
-Duration: Contract until end of December 2025 (with the possibility of extension)
Key Responsibilities:
- Perform data entry, classification, coding, logging, and storage of physical and digital records
- Retrieve files from storage and ensure accurate repacking, labeling, and logging of records in accordance with internal guidelines
- Coordinate the transfer of completed boxes to external storage providers
- Maintain up-to-date and accurate storage tracking logs
- Organize, label, and store records systematically to ensure easy retrieval and security
- Manage incoming correspondence: open, sort, date stamp, and distribute all mail, email, and faxes in a timely manner
- Scan, upload, and digitize documents following established procedures
- Process receipts from employees, invoices from physicians, and ambulance bills for payment
- Investigate and resolve any discrepancies related to invoices or payments
- Ensure timely completion of applications, medical documentation, and report filing
- Provide ad hoc administrative support
Qualifications:- Previous experience in a clerical, administrative, or records management role
- Strong organizational skills with high attention to detail
- Proficiency with data entry and digital file management systems
- Ability to handle confidential information with discretion
- Excellent communication and time management skills
- Comfortable working independently and collaboratively in a team setting
- Availability to work onsite full-time
