Our client in the child welfare space is seeking a dedicated and detail-oriented Administrative Assistant to join their team from July 14th- September 26th with potential to extend. The office is located in downtown Toronto and is fully onsite. The ideal candidate will have a strong work history in administration, excellent attention to detail, and the ability to manage various administrative tasks efficiently.
This role provides a range of administrative services to help staff and clients, ensuring smooth and efficient workflow across the team.
Key Responsibilities
Answer and respond to phone calls, emails, and inquiries from the public, clients, and staff.
Update and maintain client information in CPIN.
Prepare documents such as memos, letters, court forms, and reports; format and proofread content.
Coordinate legal documents and follow up on legal procedures as needed.
Track and update client records, interagency agreements, and internal reports.
Support the Ontario Permanency Funding program, including tracking, payments, and statistics.
Manage calendars, schedule meetings, book rooms, and handle mail, supplies, and courier services.
Provide general administrative support including scanning, filing, photocopying, and data entry.
Assist team members with technical or computer-related issues.
Attend and take minutes at meetings as required.
Provide backup support to other administrative or reception roles as needed.
Follow agency policies, including confidentiality, anti-racism, and health and safety protocols.
Qualifications
High school diploma with at least 2 years of recent administrative experience, or a combination of education and experience.
Strong computer skills, particularly in Microsoft Office.
Excellent communication, organization, and customer service skills.
Ability to manage confidential information and work both independently and as part of a team.
Flexible, dependable, and comfortable in a fast-paced environment.
