Our client in the Non-Profit space is hiring a detail-oriented Administrative Assistant to join a supportive and collaborative team, fully onsite in Ottawa. This role is crucial in supporting the organization’s HR and office administration functions during a busy period, including support for Canada Summer Jobs and other staffing needs. The ideal candidate will have the ability to work comfortably with vulnerable populations, demonstrating empathy, understanding, and respect in all interactions. This is an 11-week contract with strong potential for extension.
Responsibilities
- Support hiring processes by, scheduling and coordinating interviews, and communicating with successful candidates
- Following up with candidates and distributing gift cards to participants
- Assist with onboarding and documentation
- Manage and file documents (incoming and outgoing)
- Schedule meetings and send virtual meeting links
- Support payroll tasks after training on Ceridian payroll system
- Assist with policy manual updates by ensuring documents reflect current policies
- Help with filing and organizing finance team documents
- Occasionally order office supplies and assist with light office troubleshooting (e.g., photocopier issues)
- Provide general office administrative support as needed
Qualifications:
- Minimum 3 years of administrative experience, ideally within a non-profit or family services environment
- Quick learner, able to grasp and execute processes efficiently
- Comfortable supporting hiring and onboarding activities
- Strong organizational skills with attention to detail
- Ability to work collaboratively in a team-oriented environment
- Reliable and able to work full-time, onsite (Monday to Friday, 9-4)
- Ability to handle confidential information with discretion
- Willingness to undergo a Criminal Record Check
- Physical ability to lift items up to 20 lbs on designated donation days
