Altis Recruitment is grateful to partner with our client in the Broader Public Sector to support in the recruitment of an Executive Assistant for a 2-month contract position (with possibility of extension) based in Toronto. The successful candidate will provide a wide range of high-volume administrative support to senior leadership, with a focus on calendar management, correspondence preparation, and coordination of key activities and materials. The role requires discretion, sound judgment, and the ability to manage competing priorities in a fast-paced environment.
Responsibilities
- Manage calendars for senior leaders, ensuring effective scheduling of meetings, tracking of key dates, deadlines, and appointments.
- Organize travel arrangements, including researching options, booking accommodations and transportation, and processing related expenses.
- Coordinate meetings and activities involving internal and external stakeholders, including preparation and distribution of related materials.
- Draft, edit, and format correspondence, reports, briefing notes, presentations, and legal or business documents as required.
- Maintain accurate records, working files, and document tracking systems.
- Support multiple senior team members simultaneously while prioritizing tasks based on urgency and business needs.
- Act as a liaison to ensure timely communication and distribution of information between leaders, teams, and external partners.
- Additional duties as assigned.
Requirements
- Previous experience providing executive-level administrative support, particularly in financial services or investments industry.
- Advanced proficiency with Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
- Strong judgment, discretion, and ability to handle confidential and sensitive information appropriately.
- Excellent organizational and time-management skills, with the ability to manage multiple priorities effectively under pressure.
- Attention to detail and accuracy in all work.
- Strong written and verbal communication skills.
- Professionalism, diplomacy, and a client-focused approach in all interactions.
