Our real estate client is seeking a highly organized and professional Executive Assistant to support two senior executives. This is a 3-month contract role to start with the possibility of extension. In this role you will work closely with senior leadership during a critical period of transition. The ideal candidate is proactive, detail-oriented, and confident managing competing priorities in a fast-paced, corporate environment.
This is a hybrid position (4 days in office, 1 days WFH) in Toronto, ON.
Responsibilities: - Provide administrative support to two executive leaders
- Prepare documents and presentations for meetings; take minutes and track action items
- Manage complex calendars, schedule meetings, and coordinate logistics
- Handle confidential correspondence, emails, and inbound communications
- Coordinate travel arrangements and process expenses
- Draft and format reports, memos, and other business communications
- Maintain organized electronic and paper filing systems
- Liaise with internal and external stakeholders
- Act as a communication and coordination hub for the broader team
Qualifications:- 3+ years of experience in a senior administrative or EA role
- Post-secondary education in business administration or a related field
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams)
- Strong organizational and multitasking skills
- Excellent verbal and written communication
- Discretion and professionalism in handling confidential information
- Bilingualism (English/French) is an asset
