Job Title: Client Intake Co-ordinator
Location: Ottawa & Toronto
Work Model: Hybrid (1–2 days in-office weekly; remote flexibility for top performers)

Start Date: ASAP (2–3 weeks preferred)
Hours: Flexible between 8:30 AM–4:30 PM or 9 AM–5 PM
We are seeking a warm, process-driven Client Intake Coordinator to be the first point of contact for individuals seeking support after an accident or injury. This role is critical in making a compassionate and professional first impression and in guiding potential clients through the intake process.
You will conduct intake interviews, schedule legal consults, and collaborate closely with the legal team to determine case fit. If you're an empathetic communicator with a high attention to detail and thrive in a client-focused environment, we’d love to hear from you.
Key Responsibilities
Serve as the initial point of contact for all new client inquiries
Handle inbound/outbound communication via phone, email, and text
Conduct 20–30 minute intake calls and book consultations with lawyers
Enter client information accurately into a legal CRM system (Lead Docket)
Qualify or disqualify potential cases based on firm criteria
Assist with early-stage document collection (e.g., AB forms, authorizations)
Provide client file support during non-intake hours
Meet and maintain weekly intake targets
Collaborate with the legal team to ensure smooth client onboarding
Required Qualifications
1+ year of experience in a legal, medical, insurance, or similar professional setting
University degree – required
Experience in client-facing roles requiring empathy and precision (e.g., Law firm/medical/dental office)
Professional, friendly communication style
Strong attention to detail and ability to work autonomously
Comfort in handling emotionally sensitive situations
Organized and process-oriented approach
Nice to Have
Licensed Paralegal/ Law diploma
CRM experience (Lead Docket training will be provided)
Bilingual (French) – an asset
