Your Opportunity
We are currently seeking an experienced Administrative Assistant for Edmonton, AB location to provide administration and customer service support.
This is a temporary position until the end of March 2026. The working hours are 8:00am to 4:30pm, Monday through Friday.
As the face and voice of Stantec, the successful candidate must have demonstrated experience in a similar role, have a high degree of professionalism and corporate communication skills, be professionally presented, have superior organizational skills with the ability to focus on multiple tasks and changing priorities and have a mature approach and confidence in dealing with a wide range of clients (both internal and external) and business partners.
Your Key Responsibilities
Create a great first impression, and interface in a professional and positive manner while greeting clients and vendors both in person and over the phone including managing the visitor registration process.
Provide excellent customer service.
Maintain polite and professional communication via in person, phone, e-mail, and mail.
Anticipate the needs of guests to ensure their seamless and positive experience.
Announce guests as necessary.
Direct guests using employee and departmental directories.
Maintain visitor logbook and badges; issue visitor badges; check and maintain visitor badges.
Operate ours switchboard by answering phones and route calls as necessary; forwarding and screening calls.
Assist employees with Boardroom bookings.
Maintain safe and clean boardroom areas. Ensure all necessary equipment, material and stationery are available.
Assist and complete Catering orders for meetings.
Maintain safe and clean reception area. Ensure all necessary equipment, material and stationery are available.
Handle conference room scheduling.
Respond to staff needs in a timely and effective manner.
Invoice coding.
Flexibility with early morning starts if early meetings booked.
Other duties, as assigned.
Qualifications
Your Capabilities and Credentials
The ideal candidate will have 3 years of professional experience operating in an administrative office support/receptionist capacity with demonstrated skill to support a business effectively.
Computer proficiency, especially within the Microsoft Office Suite (Word, Excel, PowerPoint) and Adobe.
The ability to lift 15-25lbs (office supplies, cases of paper)
Excellent customer service skills.
The ability to work well under pressure, deal with difficult situations and/or people, take initiative, demonstrate organizational and detail-oriented skills and juggle multiple responsibilities in a deadline-driven environment.
A positive, proactive attitude, high-energy level, flexibility, dependability and willingness to learn new skills and be a team player.
Education and Experience
Typical office environment working with computers and remaining sedentary for long period of time.
