Your Opportunity

Your role will be to provide intermediate administrative support to our team.

Your Key Responsibilities

  • Daily

    • Fill/check kitchen supplies – coffee machines, milk, sugar, honey, dish soap, hand soap, paper towels, facial tissues
    • Fill paper towel dispenser
    • Floor inspection – walk each floor, checking for hvac condensation leaks, burnt lights, general tidiness, and safety
    • Report any office maintenance issues to buildings management through portal
    • Mail collection – pick up mail from lobby mailbox, sort and distribute to mail slots on each floor (create mail slots as needed)
    • Check boardrooms throughout day, tidy and clean if necessary – remove any notes left on whiteboards
    • Help with meeting room set ups for large weekly occurring meetings
    • As requested, help with set up of new hire workstation
    • Ensure the office maintains a professional appearance on all floors
    • Support staff as needed with any office related questions
    • Administrative tasks related to facilities, invoice review, printer readings, ordering name tags
  • Reception Lunch Coverage

    • Greet guests – go over HS visitor information and provide visitor pass, find seating if requires
    • Answer all incoming calls and transfer to appropriate person
    • Receive incoming packages, record arrival, and notify the recipient
    • Assist staff with boardroom bookings and av issues with support of IT if needed
  • Weekly

    • Check cutlery drawer, plates, cups, glasses – move dishes from floor to floor if one floor ends up with an overstock
    • Check print rooms for tidiness and sufficient supplies
    • Thoroughly clean all boardroom whiteboards, including small meeting rooms
  • As needed

    • Order stationary supplies
    • Deep clean whiteboards in offices – notify occupant before erasing any notes

Qualifications

Your Capabilities and Credentials

  • Excellent organizational skills and attention to detail.

  • Strong written and verbal communication skills.

  • Versatility, flexibility and willingness to work within frequently changing priorities.

  • Must be willing and able to take initiative when needed.

  • Flexibility to learn new skills.

  • Proficiency in MS Office Suite.

Education and Experience

  • Post Secondary Education

Salary Range(s):

  • Lower Mainland $24 Per Hour - Lower Mainland $33 Per Hour Min/Max Pay Range for postings located in BC (Lower Mainland includes Vancouver & Burnaby)

The final agreed upon compensation is based on individual education, qualifications, experience, and work location. At Stantec certain roles are bonus eligible.
