Our client in the Non-Profit space is hiring a Senior Bilingual Executive Assistant & Secretary to the Board of Directors. This opportunity has been created to provide coverage during a medical leave and is expected to begin as soon as possible for the duration of 6-months at their Brandfort office. This is a high-impact, visible role within the organization that supports both the CEO and the Board of Directors, ensuring the smooth operation of executive and governance-related functions. The ideal candidate will be highly organized, bilingual (French/English), proactive, and experienced in supporting senior leaders. This individual must be able to manage complex scheduling, coordinate detailed Board and committee meetings, and handle sensitive and confidential information with the utmost discretion.
Responsibilities:
- Act as a trusted partner to the CEO, ensuring seamless coordination of daily activities and long-term planning.
- Draft and prepare internal and external communications, reports, presentations, and correspondence.
- Coordinate and manage executive calendars, travel arrangements, and expense reporting.
- Attend internal and external meetings as required, documenting action items and following up as needed.
- Coordinate all aspects of Board and Committee meetings, including agendas, material preparation, minutes, follow-ups, and logistical arrangements.
- Oversee and coordinate all translation services for written documents and live interpretation during meetings.
- Provide guidance and support to internal translation staff as needed.
- Plan and support national and committee meetings, Association events, and AGMs.
- Prepare reports, track expense submissions, and maintain organized digital records.
- Assist the Registrar and senior management with confidential and high-priority projects.
- Help foster a positive, professional environment through collaboration and strong communication.
Qualifications:
- 5+ years of experience in an Executive Assistant or senior administrative role, with a focus on executive-level support.
- Bilingual in French and English – strong verbal French required; written support can be arranged.
- Exceptional organization, attention to detail, and multitasking abilities.
- Strong communication skills and a professional, diplomatic demeanor.
- Demonstrated experience coordinating Board or governance-related activities.
- Available to begin immediately.
