On behalf of a health care client we are seeking a professional and compassionate Department Secretary to join their outpatient clinic on a contract basis. This role is ideal for someone with strong organizational skills, a high level of discretion, and proven experience in a clinical or hospital setting.
You will be part of a supportive admin team and primarily responsible for managing physician schedules and appointment coordination. The clinic supports individuals facing mental health challenges, and empathy and professionalism are essential in all client interactions.
Key Responsibilities:
- Manage and coordinate schedules for 8–12 physicians, including bookings, rescheduling, and client follow-up.
- Provide general administrative support such as data entry, record management, and correspondence.
- Book and confirm client appointments, ensuring high attention to detail and sensitivity to client needs.
- Occasionally provide coverage for the front desk (e.g., during lunches or sick days).
- Collaborate closely with a team of 5 administrative professionals to maintain smooth clinic operations.
- Maintain strict confidentiality regarding all client and clinic information.
- Uphold a respectful, empathetic, and client-centered approach aligned with the clinic’s core values.
Qualifications:
- Minimum 2–3 years of administrative experience in a clinic, healthcare, or hospital environment.
- Strong understanding of mental health services and outpatient care processes.
- Exceptional interpersonal and communication skills; ability to interact empathetically with diverse clients.
- High level of technical proficiency with Microsoft Office Suite (Word, Excel, Outlook); experience with clinic scheduling systems is an asset.
- Demonstrated commitment to confidentiality and discretion.
- Ability to prioritize tasks, manage multiple schedules, and thrive in a fast-paced setting.
