Position Summary
We are seeking a highly organized and detail-oriented individual to join our client in a support role focused on scheduling, documentation, and coordination within a medically sensitive environment. The ideal candidate will possess strong administrative capabilities, discretion in handling confidential information, and excellent communication and customer service skills.
Qualifications & Certifications
Proven experience managing complex schedules and calendars
Sound judgment and discretion in handling confidential data, including employee medical records
High attention to detail with excellent data entry accuracy
Skilled in the creation, documentation, and maintenance of records and information
Familiarity with office technologies, including software applications and digital record systems
Strong interpersonal skills with effective verbal and written communication abilities
Demonstrated excellence in customer service
Post-secondary education in a relevant field, or an equivalent combination of education, training, and related work experience
Key Responsibilities
Manage an active caseload of 60–70 files, ensuring all appointments are scheduled and conducted in a timely and appropriate manner
Receive, document, and report test results; communicate with third-party service providers as required
Serve as a secondary point of contact for external medical service providers, including Medical Review Officers, laboratories, collection agents, and Team Leads
Safeguard the confidentiality of all testing records and ensure compliance with privacy standards
Respond to incoming phone inquiries regarding test results and appointment logistics
Provide backup support to other Program Assistants as needed
Expected Deliverables
Schedule mandatory medical appointments promptly and in accordance with clinical guidance, with minimal margin for error
Distribute daily appointment notices to relevant stakeholders
Respond to voicemail messages within 24 hours
Maintain up-to-date task completion and consistently meet deadlines
