Nova Scotia is the provincial co-chair of the Forum of Labour Market Ministers (FLMM) and will act as the FLMM Secretariat from April 1, 2025, to March 31, 2027. The FLMM is a neutral forum, composed of federal, provincial and territorial (F-P/T) Ministers responsible for labour market policies and programs. Established in 1983, the FLMM promotes discussion and cooperation between governments on pan-Canadian and regional labour market issues. The FLMM is co-chaired by Employment and Social Development Canada (ESDC) and a lead province or territory. About Our Opportunity


Are you seeking an opportunity to work with a dynamic team in an office support role?  If so, this is an exciting opportunity for you to explore. We take a “people first” approach with our team and our work and strive to build relationships based on kindness, respect and collaboration. Reporting to the Director of the FLMM Secretariat, the Secretary 2 will provide administrative and coordination services along with project support to the Director, Analysts and FLMM representatives through the effective management, coordination and efficient operation of the FLMM office. By having a good knowledge of processes and general administration, the Secretary 2 acts as the first point of contact for FLMM representatives in 14 jurisdictions and acts as the liaison for staff and other government officials seeking information, support and assistance in a highly sensitive and confidential environment.  
 

Primary Accountabilities

 

  • Supporting the daily operation of the office of the FLMM Director and FLMM Secretariat
  • Maintaining the FLMM Secretariat’s general email account by prioritizing, responding or delegating inquiries for action 
  • Composing/preparing correspondence/reports/legal documents on behalf of the FLMM Director and FLMM Secretariat
  • Assisting in coordinating/arranging meetings, travel and accommodations, catering responsible for logistics and organization 
  • Assisting in coordinating the FLMM Secretariat’s budget, monitoring forecast documents, processing invoices and expenses
  • Ordering goods and supplies
  • Records Management including maintaining a bring forward and tracking system, along with a filing system
  • Maintaining contact/membership/distribution lists. 
     

Qualifications and Experience

You are a self-motivated individual who participates fully in a team environment where ideas and innovation are embraced.  You have successfully completed an office administration program with 3 years of related experience or the equivalent combination of training and experience. You are dedicated to high standards of quality with proven initiative, integrity, judgement, decision making abilities, and communication skills (verbal and written).  You are resourceful, reliable and have a high degree of organizational skills, which are required to determine priorities with minimal supervision in a busy environment.  Essential skills include advanced computer skills using Microsoft Office (Word, PowerPoint, Outlook and Excel), the ability to create and manage processes and other efficient office management practices. A high degree of confidentiality, sensitivity, discretion and judgement are essential. You must be able to effectively respond to high volumes of work and work independently with minimal supervision.


We will assess the above qualifications and competencies using one or more of the following tools: written examination, standardized tests, oral presentations, interview(s), and reference checks.

While not required, it is considered an asset if you have the following:

  • Ability to speak and communicate in French.

Working Conditions

 

  • Regular work week is 35 hours/week, 7 hours per day.
  • Some overtime work may be required, reflective of time zones in other jurisdictions.
  • Majority of time is spent in a comfortable office setting with frequent opportunity to move about
  • May be required to travel within and outside the province
     

Additional Information


This is a TERM, full-time position based in Halifax, with an anticipated end date of March 31, 2027. The appointment status (‘term’, ‘temporary’ or ‘casual’) is dependent on the start date of the successful candidate.

Pay Grade:  CL 18  

Salary Range:  $1,684.00 - $1,884.17 Bi-Weekly
