Our client, a well-regarded organization in the non-profit sector, is seeking a reliable and detail-oriented Receptionist & Central Switchboard Operator to join their team on a full-time contract from June 2 to August 15. This position plays a crucial role in managing high-volume front-desk operations and central communications, ensuring that visitors, clients, and internal staff are supported with professionalism and care. The ideal candidate is professional, detail-oriented, and capable of working effectively under pressure in a fast-paced environment.
Responsibilities:
- Greet and receive clients, visitors, staff, and deliveries with professionalism and courtesy.
- Maintain a reception register to monitor and track visitor movement.
- Coordinate booking of agency vehicles and car seats, including arranging car seat cleanings as required.
- Assist with courier arrangements and maintain records of incoming/outgoing packages.
- Manage and troubleshoot access room and meeting room bookings; maintain cleanliness and order in shared spaces.
- Dispense and log pick-up items such as cheques, food vouchers, and other deliverables.
- Maintain bulletin boards, display cases, and the feedback box as directed.
- Operate a multi-line telephone console to receive, screen, and direct both external and internal calls.
- Report technical or system issues (e.g., phone lines, call queues) to the Systems Analyst-Telecom or supervisor.
- Coordinate with IT to ensure the staff directory and extension listings are accurate and up to date.
Qualifications:
- Secondary School Diploma required; post-secondary education is an asset.
- Minimum of 1 year of relevant experience in reception or office administration.
- Strong customer service orientation and professional telephone manner.
- Excellent verbal and written communication skills.
- High level of initiative with strong problem-solving abilities.
- Proven ability to work cooperatively with staff, clients, and external parties.
- Capable of handling high-pressure and high-stress situations with composure.
- Flexible and able to adapt to shifting service needs and assignments.
- Technically adept and comfortable using common office equipment and systems.
