Our client in the non-profit sector is seeking a dedicated and detail-oriented Administrative Assistant to support the Resources for Children and Youth department at their North York location. This is a contract role with the potential for extension. The successful candidate will have a strong administrative background, the ability to work independently, and a proactive approach to problem-solving in a dynamic environment.
Start Date: May 5th, 2025
End Date: July 18th, 2025 (with the possibility of extension)
Hours: Monday to Friday, fully onstie in North York, 9:00 AM – 5:00 PM
Key Responsibilities:
- Provide general administrative support, including managing phone calls, responding to inquiries, and maintaining organized documentation
- Assist in compiling reports, preparing meeting materials, and coordinating schedules
- Take meeting minutes and ensure timely distribution to relevant stakeholders
- Track and pull statistical data reports using Microsoft Excel
- Recreate and edit forms and documents using PDF editing software (Adobe, Nitro, etc.)
- Compile packages and documents from various sources for internal use
- Support ongoing projects within the department
- Maintain accurate records and assist in data entry tasks
- Collaborate with team members to improve processes and documentation
Qualifications:
- Proven administrative or office assistant experience
- Excellent attention to detail and strong organizational skills
- Ability to take initiative, think independently, and problem-solve
- Demonstrated reliability with minimal gaps in employment history preferred
- Comfortable working with new systems and open to learning
- Proficiency in Microsoft Office Suite, especially Excel
- Experience working with and editing PDFs using tools like Adobe, Nitro, or similar
- Familiarity with compiling statistical data and reports is an asset
- Strong written and verbal communication skills
- Experience in non-profit or healthcare sectors is a plus, but not required
- Minute-taking experience is an asset
- A second language is a bonus—French is used within the department, but English is the primary language
