Our company is currently looking for new team members to support its mission of providing excellence in emergency and community care within our various programs, namely Ambulance New Brunswick, the Extra-Mural Program and NB Health Link. We are looking for a Lead Scheduler to help support the creation, management, and review of all operational schedules.  Scheduling scope includes providing oversight to Operations/MCMC/Fleet/Air Ambulance/EMP/ NB Health Link as well as Human Resources and payroll pertaining to all issues of scheduling.

Roles and Responsibilities

  • Manage and provide direction to the scheduling staff
  • Hold regular status meetings with scheduling teams.
  • Ensure training on scheduling system is provided when needed;
  • Manage all software issues, upgrades, patches and testing
  • Accountable for the scheduling software and process, assessing new set up or change requests and clearly communicating time and effort as required
  • Responsible for the smooth operation of the agency’s programs through scheduling of all employees required to cover vacancies and absences on a timely basis
  • Create and review Master Schedules for all programs as needed
  • Communicate with internal and external partners on scheduling matters such as site orientation, overtime, vacation etc
  • Develop and utilize appropriate forms of communication including periodic reports to all necessary personnels
  • Processes reports and review changes in schedule such as shift exchanges, time off or training needs
  • Ensure compliance with Employment Standards Act, Human Rights Code and the Collective Agreement(s)
  • Complete monthly and daily shifts call outs at all programs according to Collective Agreements
  • Generate periodic scheduling reports for strategic planning and evaluation as needed
  • Collaborate with various departments to ensure adequate coverage of all frontline vacancies and accurate reporting of staffing hours
  • Reconcile all payroll errors in Telestaff system;
  • Provide support to all users of NB through the NB Telestaff support –email chain;
  • Assist various departments with scheduling;

Qualifications & Requirements

Education/Experience:

  • Post-secondary education in business administration, Project Management, Health Sciences or related field, or an equivalent combination of education and relevant experience;
  •  2+ years proven work experience as a Scheduler with hands on experience with scheduling software systems, preferably Telestaff
  • Proficient understanding  of Microsoft Office Suite especially spreadsheets, word processing and database software. Should understand Internet, Intranet, Extranet and client/server architectures

Knowledge/Skills:

  • Leadership experience is considered an asset
  • Understanding of how to communicate difficult/sensitive information tactfully;
  • General to intermediate understanding in the areas of application programming, database and system design;
  • Solid understanding of all Collective Agreements;
  • Ability to research, navigate and monitor applicable legislation, and other governing documents;
  • Strong analytical, problem solving and organizational abilities;
  • Sound business judgment and be able to think strategically;
  • Sound interpersonal, presentation, written and verbal communication skills;
  • Ability to work both independently and as part of a team;
  • Knowledge of statistics, data collection and analysis;
  • Ability to create and edit various reports, presentations and databases;
  • Bilingualism considered an asset.

The Base Pay range may vary depending on the successful candidate or other relevant job-related factors such as knowledge, skills, qualifications, experience and education/training. In addition to Base Pay, eligible Medavie employees may participate in various performance-based incentive programs. Payments under these programs are discretionary and subject to both individual and organizational results.
