We are looking for an organized, and proactive Office Administrator to join our Calian Agriculture team. In this full-time onsite role, you will support the day-to-day operations of the office by providing front desk reception, administrative coordination, finance support, office maintenance oversight, and general operational assistance. This position is ideal for an early-career professional who enjoys working with people, solving problems, and contributing to a collaborative office environment.
Welcome visitors and ensure compliance with safety orientation procedures
Answer phones and direct inquiries as needed
Coordinate onboarding logistics and provide day-of support for new employees
Maintain office supply inventory, including stationery, janitorial items, and office groceries while tracking expenses appropriately
Maintain internal communication tools such as bulletin boards and in/out boards
Update and manage administrative spreadsheets, tracking tools, and SharePoint folders as required
Perform document control tasks including scanning, laminating, and filing
Distribute incoming mail
Liaise with cleaning services, building maintenance contacts, and other facility contractors to ensure office needs are met
Maintain and update common office equipment including printers, televisions, and security systems
Organize and support internal events such as staff lunches, BBQs, and town halls
Assist with administrative tasks required by production
Provide support to the finance function by assisting with invoices, purchase orders, and shipping backup activities
Support department leads and general office operations as required
Perform other duties within the scope of the role
High School Diploma required
Preference for a post-secondary certificate or diploma in Office Administration, Business Administration, or a related field
Minimum one year of experience in an administrative, clerical, customer service, internship, or volunteer capacity
Basic proficiency with Microsoft Office, including Word and Excel
Experience with QuickBooks is considered an asset
Strong organizational and time management skills
Excellent communication and interpersonal abilities
Ability to maintain confidentiality and handle sensitive information
Friendly, professional, and customer-focused approach
Self-starter with strong problem-solving abilities and a willingness to learn new skills
Must be able to work onsite full-time
Regular work schedule is 8:00 AM to 4:50 PM
Team schedule includes every second Friday off

$50,000 to $55,000
