About the Opportunity
Were looking for a smart, dependable, and proactive Office Coordinator to support a busy operations team in Toronto. Working on-site in a fast-paced transportation environment, youll play an important role in keeping the office organized, supporting senior leaders, and ensuring day-to-day administrative needs are handled efficiently.
Youll work alongside approximately 80 employees across airport operations, security, emergency response, and corporate functions, while providing direct administrative support to a key manager and senior airport operations leader. This is a great opportunity for someone who takes initiative, anticipates what needs to happen next, and enjoys being the person a team can count on.

Your Responsibilities
Youll manage calendars and coordinate schedules, meetings, and priorities for senior airport leaders.
Youll book meetings, prepare materials, take meeting notes, and help track follow-up items.
Youll manage vendors, office supplies, inventory, ordering, couriers, and general office needs.
Youll prepare correspondence, presentations, reports, records, and confidential documentation.
Youll support invoices, purchase orders, expense reporting, and other purchasing and financial administration.
Youll liaise with employees, vendors, contractors, and other stakeholders to keep information and requests moving efficiently.
Youll provide day-to-day administrative support to the broader airport team and identify opportunities to improve office processes.
Skills and Qualifications
3+ years of experience in office administration, executive support, or a coordination-focused position.
Post-secondary education in administration, business, finance, or a related field.
Advanced proficiency with Microsoft 365, including Outlook, Word, PowerPoint, Teams, and Excel.
Strong written and verbal communication, organization, proofreading, time management, and attention to detail.
A proactive, resourceful approach with sound judgment, strong problem-solving skills, and the ability to manage competing priorities.
Proven ability to handle confidential information with discretion, integrity, and professionalism.
Experience with Oracle NetSuite or a similar ERP system, basic accounting processes, or aviation and airport operations is considered an asset.
