Our client is seeking an experienced Executive Assistant to provide high-level administrative support to the Chief Financial Officer and broader Finance and Corporate Services team.
This is a highly visible role suited to a polished and experienced executive support professional who is comfortable managing complex priorities, confidential information, senior-level communications, and multiple competing deadlines. Youll work closely with the CFO while also providing coordination and administrative support across the department and assisting with additional projects and priorities as required.
Youll have the opportunity to work closely with senior leadership while gaining exposure to financial, corporate, audit, risk, and operational initiatives.
This is an excellent opportunity for a seasoned Executive Assistant who enjoys taking ownership, anticipating executive needs, and playing an important role in keeping a busy leadership function organized and moving forward.
Youll provide high-level executive and administrative support to the CFO while supporting the broader Finance and Corporate Services team
Youll manage a complex executive calendar, coordinate schedules, organize meetings, and proactively identify competing priorities
Youll monitor key deliverables, deadlines, projects, and action items while ensuring appropriate follow-up
Youll prepare, edit, and proofread correspondence, reports, presentations, agendas, meeting materials, and other executive documentation
Youll coordinate executive meetings, prepare and distribute agendas, take accurate minutes, and track follow-up items
Youll receive, prioritize, and respond to incoming communications on behalf of the CFO while exercising sound judgment and discretion
Youll coordinate travel and accommodation arrangements as required
Youll maintain organized electronic and physical records, confidential files, and executive information
Youll support expense and invoice processing, requisitions, and other financial administrative activities
Youll provide administrative support to committees and senior leadership meetings, including Audit and Risk-related activities
Youll assist with departmental projects, research, events, purchasing, and other priorities as required
Approximately 7+ years of progressive administrative or Executive Assistant experience, ideally including significant experience directly supporting senior executives
Previous experience within a non-profit, regulatory, public sector, government, or similar mission-driven environment is considered a strong asset
Post-secondary education equivalent to approximately two years of college-level coursework in Business Administration or a related field
Demonstrated experience supporting C-suite, executive, or senior management-level professionals
Advanced calendar and priority management skills, including experience coordinating executive meetings and travel
Strong experience preparing professional correspondence, presentations, reports, agendas, and accurate meeting minutes
Advanced proficiency with Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint
Excellent written and verbal communication skills with the confidence to interact professionally at the executive level
Exceptional organizational and time-management skills with the ability to balance multiple competing priorities
Strong judgment, tact, and discretion when handling confidential or sensitive information
Proactive and self-motivated with the ability to anticipate needs, identify solutions, and work with a high degree of independence
