Your Responsibilities
You'll coordinate, organize, track, and maintain grievance files, ensuring documentation is complete and deadlines are met.
You'll prepare, proofread, format, and distribute grievance correspondence while maintaining accurate records within the CRM and case management system.
You'll monitor grievance timelines, hearing dates, settlements, and reporting requirements, working closely with leadership to support workflow.
You'll support day-to-day office administration, including responding to inquiries, updating member databases, processing administrative requests, and assisting with event registration.
You'll maintain confidential records and provide professional administrative support to members, staff, legal counsel, and external partners.
Skills and Qualifications
2 to 3 years of progressive administrative experience, preferably within a union, labour relations, legal, or not-for-profit environment.
Experience coordinating confidential files, tracking deadlines, and supporting case or grievance administration.
Experience using CRM, case management, or document management systems.
Advanced proficiency with Microsoft Word, Excel, Outlook, and Google Workspace.
Excellent written and verbal communication skills with strong organizational and problem-solving abilities.
Ability to manage competing priorities, identify missing information, and ensure documentation is complete and accurate.
Paralegal or Legal Assistant education, union labour relations experience, and familiarity with collective agreements and grievance procedures are considered strong assets.
