The Executive Assistant provides high-level support to senior executives, managing priorities, communications, calendars, travel, and key deliverables with professionalism, discretion, and sound judgment. This role requires strong organization, responsiveness, and the ability to anticipate needs in a fast-paced environment.

 

Key Responsibilities

 

    • Executive Support: Provide proactive administrative support to senior executives, manage correspondence, prioritize requests, and maintain strict confidentiality.
    • Calendar and Meeting Management: Coordinate complex calendars, schedule internal and external meetings, resolve conflicts, and ensure executives are prepared with agendas, materials, and follow-ups.
    • Travel and Logistics: Arrange domestic and international travel, including itineraries, accommodations, transportation, and real-time schedule adjustments as needed.
    • Document and Information Management: Prepare, organize, and distribute meeting materials, presentations, and confidential documents, ensuring records are accurate and accessible.
    • Expense and Financial Administration: Process expenses, invoices, reimbursements, and related administrative tasks accurately and in line with internal policies.
    • Events and Hospitality: Support the planning and coordination of executive meetings, offsites, and business events, including logistics, catering, and onsite requirements.
    • Stakeholder Coordination: Act as a key liaison across internal teams and external partners to enable smooth communication, efficient execution, and alignment on priorities.

 

Qualifications and Experience

 

  • Bachelor’s degree or equivalent experience.
  • 5+ years supporting senior executives, ideally at the C-suite or Group Head level.
  • Fluency in English and Spanish is essential.
  • Strong judgment, discretion, and ability to work independently.
  • Excellent organizational, communication, and prioritization skills.
  • Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
  • High attention to detail and the ability to manage multiple priorities in a fast-paced environment.
  • Knowledge of executive office operations, financial administration, and international business environments is an asset.
