Position Summary

Thales has a vacancy for a Project Coordinator (ICI) supports the Innovation and Continuous Improvement (ICI) Project Manager (PM) and the PMO Manager by coordinating a wide range of day-to-day project activities, ensuring work is carried out effectively and that project actions impacting progress are tracked and followed through. Within the AJISS program, the Project Coordinator will perform assigned project coordination activities, support the PM in project activities to achieve successful completion, and coordinate internal and external teams while acting as a key liaison across stakeholders to ensure alignment with program objectives. The role contributes to overall delivery across technical, industrial, financial, and customer satisfaction domains, supports fulfilment of milestones, deliverables, and reporting requirements, and assists in timely issue escalation as needed.

Regulatory Compliance Requirement

This position requires direct or indirect access to hardware, software or technical information controlled under the Canadian Export Control List and/or the US the Export Administration Regulations (EAR). All applicants must be eligible or able to obtain authorization for such access.

Key Areas of Responsibility

Under the direction and support of the ICI Project Manager and PMO Manager Lead, the Project Coordinator will be responsible to:

  • Coordinate Improvement Projects, including monitoring the plan, schedule and coordinating continuous improvement project activities and timelines.
  • Facilitate Team Collaboration, including organizing workshops, brainstorming sessions to gather input and foster collaboration among stakeholders.
  • Monitor Improvement Initiatives, including assisting with tracking the progress of improvement actions against objectives and KPIs.
  • Maintain accurate records for the Integrated Management Office (IMO) that include project plans, meeting minutes, action items.
  • Assist with Change Management for Innovation and Continuous Improvement (ICI) initiatives and support the rollout of new processes.
  • Prepare reports and presentations. Provide project coordination support, including planning, execution, stakeholder communication, progress monitoring, issue resolution, and maintenance of project documentation to ensure successful delivery of project objectives.
  • Work with cross-functional teams to support project requirements and ensure alignment across stakeholders. Initiate and support continuous improvement initiatives.

Minimum Qualifications

Bachelor’s degree or college diploma in Business Administration, Project Management, or a related technical field.

- Minimum of three to five years of demonstrated experience in the last ten years in a similar role.

- Ability to work independently with minimal supervision.

- Strong organizational skills and ability to balance multiple priorities.

- Ability to manage and control project records and documentation.

- Proficiency in using Microsoft Word, Excel, SharePoint, PowerPoint and JIRA.

All applicants must be able to obtain a Canadian NATO Secret clearance and meet the eligibility requirements outlined in the Canadian Controlled Goods Registration Program.

Preferred Qualifications

  • Detailed knowledge and understanding of the Defence Sector.
  • Experience supporting complex projects.
  • Leadership Training.
  • CAPM Certification

Special Position Requirements

Schedule: 40 hours per week / 5 day per week.

Physical Environment: Hybrid role – Onsite and remote working.

Travel: Minimal travel required.

The reference Total Target Compensation(TTC) market range for this position, inclusive of annual base salary and the variable compensation target, is between Total Target Cash 50,000.00 - 65,000 CDN Annual.

This reflects how companies in a similar industry and geographic region generally pay for similar jobs. This range helps the Company make pay decisions as one data point among many. Where a position falls within this range is also dependent on other factors including – but not limited to – the employee’s career path history, competencies, skills and performance, as well as the company’s annual salary budget, the customer’s program requirements, and the company’s internal equity.
