Your Opportunity
Your role will be to provide administrative support to our architectural construction contract administration team through a variety of functions related to design, construction, and project management, but with an emphasis on supporting the construction contract administration team with document control through the construction phase.
Your Key Responsibilities
Track, log and distribute deliverables during the construction phase of projects
Coordinate with all disciplines to assist with updating logs and providing updates on deliverables
Maintain project team directories, file emails, and communicate changes or process updates to the team both internally and externally
Assist project teams in preparing change management documentation and certificates of payment for multiple projects
Prepare weekly updates and logs to the team for project coordination on deliverables
Assist in tracking project management deliverables across multiple projects
Assist in assembling and executing contractual agreements
Assist with Quality Control and Quality Assurance related to contract administration and project management deliverables
Attend meetings and work cooperatively with all team members
Adhere to corporate policies and procedures for both Stantec and the client
Other administrative duties as required
Your Capabilities and Credentials
Proficient in MS Office Suite, including Word, Excel as well as Teams and SharePoint
Proficient in Blue Beam and working experience in a document control platform such as Newforma (or Procore, Onware etc)
Strong organizational and time management skills, with the ability to prioritize and organize multiple concurrent assignments
Excellent written and verbal communication skills
High attention to detail
Ability to perform effectively under pressure in a dynamic and fast-paced environment
Capable of performing repetitive tasks with a high level of proficiency and accuracy
Must be willing and able to take initiative when needed
Willingness to learn and accept feedback
Education and Experience
1-3 years of experience in an administrative role (project experience an asset).Associate degree or technical school diploma/certificate in a related field
Typical office environment working with computers and remaining sedentary for long periods of time. Field work may require travel and include exposure to the elements including inclement weather.
