Position Summary

Reporting to the Coastal Planning Team Lead, the role of the Scheduling Coordinator is to assist the Ship Maintenance Lead (SML) in organizing all required routines, developing an integrated schedule for the Work Period. As well as managing and maintaining data systems, ensuring data accuracy, and supporting the data needs for the AJISS program and the Royal Canadian Navy’s DRMIS Data Management System. The Scheduling Coordinator manages the preparation, monitoring, and maintenance of Work Period work lists and schedules. Additional tasks will include but not limited to; Raising Purchases Requisitions on behalf of the SML, collecting and organizing Objective Quality Evidence, and assisting Maintenance Coordinators with Work Pack Management.

Key Areas of Responsibility

The Scheduling Coordinator is responsible for:

  • Provision of general project support and administration activities to the Service Delivery Team

  • Collect, organize, transcribe and input data into data repositories such as SFTP, SharePoint, Multiple ERP/EAP Systems. Liaise with key stakeholders to develop valid and accurate project maintenance packages;

  • Liaise with key stakeholders to maintain valid and accurate project schedules in accordance with a weekly update cycle;

  • Highlight areas of schedule and identify potential actions for improving performance and reducing execution costs;

  • Reconcile performance data generated from the systems with real project performance through communication with members of the project team;

  • Prepare regular reports and charts on project schedule progress and project performance in as required by the Ship Maintenance Lead and other stakeholders and as required;

  • Ensure compliance with data security regulations and company policies.

  • Provide controlled and formally distributed data to internal and external customers.

  • Assist in the development and maintenance of data documentation and guidelines.

  • Generating purchase requisitions for Subcontracted Services, while ensuring Subcontracted service providers have the necessary paperwork and materials to complete designated maintenance tasks;

  • Ensuring compliance with Health and Safety requirements (team effort);

  • Other tasking as required.

  • Comply with and ensure compliance of others to all relevant HS&E legislative requirements, policies, procedures and framework with the intent of preventing or minimizing accidental exposures to self, colleagues, visitors and/or the environment.

Basic Qualification

Skills and Abilities:

  • Experience working within the Military or a Defense Contract or Project is advantageous;

  • Experience in the marine industry as it relates to Shipbuilding, Ship Repair, or Ship Maintenance is advantageous;

  • Competent use of Scheduling Tools (Microsoft Project or IBM Maximo Graphical Scheduler);

  • Project planning knowledge desirable;

  • Demonstrated analytical skills;

  • Strong computer literacy, with proven experience with Microsoft Office products especially Word, Excel, and SharePoint;

  • Strong organizational skills and ability to balance multiple priorities;

  • Excellent communications skills including the ability to prepare and present reports to a range of audiences;

  • Strong interpersonal skills including the ability to promote cooperation at all levels;

  • Language: English (Essential), French (Desirable);

  • Experience and Knowledge with an ERP or EAM (SAP ECC, IBM Maximo and/or Isherwoods MIS Preferred).

Preferred Qualifications

  • College Graduate with trade experience or;

  • Post graduate qualifications or trainings in the area of Business, Project Management, or Engineering will be looked upon favourably.

  • 3+ Years of experience of scheduling projects;

Physical Demands


Predominantly working onsite in the Naval Dockyard and onboard Naval Vessels, will also be required to work from the office or from home.

Must meet all federal government requirements to access Canadian government facilities, including naval dockyards.

Special Position Requirements

Schedule: 40 hours per week

Physical Environment: Predominantly office work but will be required to work in dockyards and on Naval vessels, therefore must meet all federal government requirements to access Canadian government facilities, including Naval Dockyards.

Travel: Occasional domestic travel may be required which will include access to government facilities and assets, including naval vessels.

Customer Location Based or Site Visits: Please select this box if this position is primarily based in a customer location or will require regular travel to and from one or more customer sites to perform the essential functions of the position.

Describe Specific need:

  • Required to access and work in DND facilities and therefore must comply with Federal facility health regulations

  • Requires a positive Controlled Goods assessment as personnel will have direct access to hardware, software, technology or technical data controlled under the Canadian Controlled Goods Program.

  • Required to obtain and maintain a Security Clearance at the NATO Secret Level.
