Elections Alberta is an independent, non-partisan office of the Legislative Assembly responsible for administering provincial elections, by-elections and referenda. We administer the Election Act and the provincial electoral process in this province. The Administrative Services Coordinator is responsible for the delivery of administrative functions supporting the services provided by Elections Alberta. This function is essential to the delivery of services with duties that vary considerably in range and complexity. Reporting to the Director, Corporate Services, this position provides a full complement of administrative services and coordinates administrative standards by communicating effectively with staff and following applicable policies and procedures.
The Administrative Services Coordinator is the first point of contact for Elections Alberta, receiving visitors, answering general inquiries from the public, as well as receiving, screening, and directing calls, emails, mail, invoices, and other correspondence and administering the distribution and collection of incoming and outgoing correspondence.
This position is responsible for providing administrative support for the office as requested, including drafting replies to routine correspondence, preparing for meetings and training sessions, and recording meeting minutes. This position is responsible for managing general office administration, including card access, building access and alarms, parking, mailroom, kitchen, and meeting rooms

Education and Work Experience:
• High School diploma and a minimum of two years related experience. Preference will be given to applicants with post-secondary education and/or equivalent experience in a related field.
Skills and Abilities:
• Excellent demonstrated verbal and written communication skills, including using appropriate grammar and plain language.
• Superior customer service skills working with a variety of internal and external audiences to interpret needs, manage expectations, and provide timely and accurate information.
• Demonstrated ability to communicate with tact, diplomacy, discretion, patience, and good judgement and ability to navigate difficult conversations and de-escalate, especially in times of high volume, intensity, and stress, is required.
• Experience working effectively in environments with similar sensitivity, confidentiality, and risks associated with the work.
• Familiarity with or ability to learn pertinent policies and electoral legislation to capably respond to requests for information and direct queries appropriately.
• Strong aptitude for working independently, managing workload effectively with frequent interruptions, using the tools and resources available and consulting with leadership and subject matter experts, as required.
• Excellent keyboarding skills along with intermediate to advanced proficiency with MS Word, Excel, PowerPoint, Outlook, Teams, and Adobe Acrobat software applications
• Outstanding team player, able to work with diverse groups in a high-stress, fast-paced environment.
• Experience with general administrative and office duties including minute taking, scheduling, document production and filing, mail and couriers, managing office supplies, creating documentation, and other office administration.
• Previous experience working for the Government of Alberta in an administrative role would be an asset.

This position is exempt from the Alberta Union of Provincial Employees (AUPE).
