POSITION SUMMARY

 

The Maintenance Coordinator plays a key role in supporting the day-to-day organization and efficiency of the maintenance team at Blue Mountain Plastics Recycling. This position is primarily focused on coordination, administrative support, and purchase order management, ensuring maintenance activities are well-organized, properly documented, and executed efficiently.

 

Working closely with the Plant Manager and Maintenance Manager, this role requires a highly organized and detail-oriented individual who is comfortable managing multiple priorities, communicating with vendors and internal teams, and supporting a fast-paced manufacturing environment.

 

This is a hands-on coordination role best suited for someone who thrives in a team-oriented environment, enjoys working closely with others, and takes pride in keeping operations running smoothly behind the scenes.

 

 

KEY RESPONSIBILITIES

 

Purchase Order & Maintenance Spend Management

  • Own and manage the full purchase order (PO) process for maintenance materials, parts, and services
  • Create, track, and reconcile POs, ensuring accuracy and timely processing
  • Obtain quotes, coordinate pricing, and manage lead times with vendors and service providers
  • Ensure all purchases align with internal processes and budgets
  • Resolve invoice discrepancies and maintain accurate records of maintenance spend
  • Support vendor communication and maintain organized supplier documentation

 

Maintenance Coordination & Administrative Support

  • Coordinate and track maintenance work orders to ensure timely completion
  • Maintain accurate records of maintenance activities within the FiiX CMMS
  • Support scheduling of preventive and corrective maintenance activities
  • Ensure all maintenance documentation is complete, accurate, and up to date
  • Act as a central point of coordination between maintenance, operations, and vendors
  • Support the organization of maintenance records, reports, and documentation

 

Parts, Inventory & Vendor Coordination

  • Support parts ordering and replenishment to ensure availability for planned work
  • Track parts usage and maintain organized inventory records
  • Coordinate with vendors and suppliers to ensure timely delivery of materials
  • Assist with maintaining an organized and efficient parts storage system

 

Reporting & Continuous Support

  • Support basic reporting on maintenance activity, work order completion, and downtime tracking
  • Assist with identifying recurring issues and escalating to the Maintenance Manager
  • Provide administrative support for maintenance-related procedures and documentation

 

Safety & Site Support

  • Follow all BMPR safety policies and procedures
  • Maintain a visible presence on the plant floor to support coordination with maintenance and operations teams
  • Support safety documentation and compliance requirements as needed

 

 

EDUCATION, SKILLS & EXPERIENCE

 

Required

  • 2–5 years of experience in a coordination, administrative, or support role within a manufacturing, industrial, or service environment
  • Proven experience with purchase order management, vendor coordination, or parts ordering
  • Previous experience working in a manufacturing or industrial environment, or a similar industry
  • Strong organizational and time management skills, with the ability to manage multiple priorities
  • Proficiency with Microsoft Office (Excel, Word, Outlook)
  • Strong communication and interpersonal skills

 

Preferred / Assets

  • Experience in a recycling, plastics, or waste management environment
  • Experience using a CMMS system
  • Basic understanding of maintenance, parts, or equipment in a plant setting
  • Experience supporting maintenance teams or service operations

WORKING ENVIRONMENT & PHYSICAL DEMANDS

  • Combination of office-based work and time spent on the plant floor
  • Frequent walking throughout the facility, including stairs and uneven surfaces
  • Occasional bending, kneeling, and standing for extended periods
  • Exposure to manufacturing conditions including noise, dust, and varying temperatures
  • PPE such as safety footwear, safety glasses, and hearing protection is required

 

 

SALARY: $65-70K/year to start
