Position Overview

Serving as the administrator for the human resources department, the Human Resources (HR) Assistant assists with the administration of the day-to-day operations of the human resources functions and duties. The HR Assistant carries out responsibilities in some or all of the following functional areas: HRIS, processing employment information, maintaining confidential records, responding to inquiries, assists in informing new employees of human resource policies and programs as needed, reporting, administering benefits and Calian’s security requirements. The Human Resources Assistant helps with the implementation of services, policies, and programs through HR; reports to the Manager, HR and assists company managers with HR issues. The Human Resources Assistant contributes to the accomplishment of Human Resources practices and objectives that will provide an employee-oriented company culture that emphasizes quality, continuous improvement, and high performance.

Responsibilities

Human Resources Database and Personnel Files:

• Maintains the HRIS database ensuring a high standard of quality and keeps employee records up-to-date by processing data in a timely manner. Obtains and verifies information for inclusion in employee records

• Assists with HRIS system testing

• Maintains employee files and the HR filing system

• Prepares and maintains reports that are necessary to carry out the functions of the Human Resources department. Prepares periodic reports for management, as scheduled or requested

Administration:

• Interprets, assists and advises employees and managers regarding leave management, status and entitlements, benefit administration, and HR procedures and policies within the specified guidelines

• Provides general administrative support such as preparing correspondence (including but not limited to: employment letters, hire/orientation/benefit packages, memos, etc.), form management, processing confidential documents, tracking deadlines

• Manage HR/Payroll Helpdesk inquiries, via email, phone or in-person

• Administers Calian’s benefit program and remains current on plan

• Remains current on all HR policies, procedures and forms

• Remains current on legislation for all provinces in which Calian does business

• Coordinates and conducts new employee orientation

• Fosters and maintains a solid, collaborative team relationship with internal and external customers

Health and Safety:

• Assist HR Management with the administration of the HS&W committee

• Take an active role in creating a safe and healthy work environment

• Other

• Supports the HR Management team as required, this may be through research and/or other special projects

Qualifications

• A college diploma in a field related to the human resource profession such as Business Management – HR Management.

• Strong administration skills

• Intermediate proficiency in MS Office programs (including Word, Excel, and PowerPoint, Access is considered an asset)

• Knowledge of HRIS systems, SAP preferred

• Bilingualism is an asset and may be mandatory for some roles

• A clear sense of urgency to achieve results. A “can-do”, “let’s make it happen” attitude and a focus on a positive customer experience

• Highly developed sense of tact, discretion, and judgement in dealing with confidential, sensitive and/or delicate matters

• Excellent written and oral communication skills, with experience communicating effectively and collaboratively with internal and external stakeholders at all levels within the organization

• Strong multi-tasking and prioritization skills with a demonstrated ability to perform efficiently in a fast-paced environment with continued attention to detail

• Ability to gather, prioritize and analyze information skillfully

Additional Requirements

  • Must be eligible to obtain Government of Canada security clearance.
  • Employees within 50km of our Ottawa or Saskatoon offices must work a hybrid arrangement.

Note: This position is a contract role with a duration of 9 months.

Compensation

$50,000-$55,000 per annum
